Count records by two categories without losing the totals

A channel-by-payment count table with complete totals and every order ID accounted for.

Illustrative resourceNot tool-testedAdults working with original, synthetic or authorized non-sensitive material
What you’re working towards

A complete two-way count table with row, column and grand totals, including unknown categories. This is an authored practice example; no consumer AI run or real participant trial has been recorded.

Make a start

One step at a time.

2 steps

Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.

Start with the synthetic example, then adapt each prompt to your task.

01

Try the complete example

Open a new chat in a text AI assistant you already have permission to use. Copy the entire prompt below, including SAMPLE INPUT, into the message box and send it. No upload or special tool is needed. Expect a channel-by-payment count table with complete totals and every order ID accounted for. Compare the result with Input; Output is a worked illustration, not text you need to paste. Online is 2/0/1 with total 3; counter is 1/1/0 with total 2, in card/cash/unknown order. Column totals are 3, 1 and 1; both ways of summing give grand total 5. A1–A5 each occur once in the cell ledger, including A5 in online/unknown. If a detail differs, paste: “This part is wrong: [quote it]. My input says: [quote the exact source line or rule]. Return a complete corrected replacement and explain the change.” Recheck it yourself. If the source is missing or contradictory, leave that part unresolved and obtain the needed fact before using it.

Your starting prompt
Count the complete source orders by the supplied channel and payment categories. Return the full two-way table including zero cells and unknown, all row/column/grand totals, and every cell’s source IDs. Reconcile the IDs as well as the totals. Apply the supplied duplicate and uncovered-category hold rule.

SAMPLE INPUT
Original synthetic practice input. The people, organizations, records and events below are fictional.

Complete fictional order records:
order_id | channel | payment
A1 | online | card
A2 | counter | cash
A3 | online | card
A4 | counter | card
A5 | online | unknown
Count one order per unique order_id, not customers or money. Each source row is a distinct order; no duplicates are declared.
Use channel rows in this order: online, counter. Use payment columns in this order: card, cash, unknown. Preserve spellings. unknown is an explicit payment category, not an instruction to drop the row. Show 0 for a category pair with no source orders. Show every row total, column total and the grand total, plus an ID list for every cell. If IDs repeat or categories are not covered by the rules, hold the aggregation until clarified.

Return written text only. Keep this fictional and label illustrative dialogue as invented. Do not claim an actual interview, survey, learner trial or tool execution. Do not send, publish, collect responses or change another service.
02

Use your own input

Open a new chat. Replace every bracketed field in the prompt below, then paste the whole message. Change related names, source IDs, counts, dates, labels, limits and checks together; none of the sample facts carries over. Use only your own, authorized non-sensitive material. Expect the same kind of complete result using your inputs. Recount each cell from your original IDs. Sum across and down, then check that the source IDs appear exactly once. A matching grand total alone can hide one omitted ID and one duplicate.

Build a two-way count table from my complete records using my two grouping variables and counting unit. Use the supplied category definitions and ordering; include zero cells and the explicitly defined unknown categories. Show row totals, column totals, grand total and the source IDs in every cell. Reconcile each eligible record exactly once. If IDs repeat, a record could fit several categories, or an unknown value has no policy, hold the affected aggregation and ask rather than deduplicating, guessing or dropping it.

MY INPUT
Complete rows with stable unique IDs: [replace with complete non-sensitive details, or state unknown]
Counting unit and any explicit exclusion rules: [replace with complete non-sensitive details, or state unknown]
Two grouping variables with exact category definitions and order: [replace with complete non-sensitive details, or state unknown]
Unknown/blank-category policy: [replace with complete non-sensitive details, or state unknown]
Duplicate and overlapping-category rules: [replace with complete non-sensitive details, or state unknown]

Use only MY INPUT for facts, names, dates, counts and constraints. Ask about essential missing information or conflicting rules instead of guessing. Do not import any practice-example values. Return the complete requested result, unresolved questions and checks tied to my input. Do not send, publish, collect responses, buy, book or change another service.
Optional: improve the result

Resolve one unknown without adding an order

Trace a changed classification while keeping the source count fixed. This optional extension uses only the original synthetic sample. Return to the sample chat, or paste its complete Input into a new chat first. To use it with your own material, replace the source and every dependent rule, number and check explicitly.

Advanced prompt
For a separate revised copy of the original sample, the owner confirms A5 payment = cash. Update the table and source-ID ledger, and list exactly which cells and totals change. The grand total must remain 5 and the online row total must remain 3. Keep the original unknown-payment edition separately.

The intended result

Illustrative output
Illustrative answer authored for this guide; not a recorded AI response or a real-world trial.

Order counts by channel and payment
channel | card | cash | unknown | row total
online | 2 | 0 | 1 | 3
counter | 1 | 1 | 0 | 2
column total | 3 | 1 | 1 | 5

Cell-to-source ledger
- online / card: A1, A3 → 2 orders
- online / cash: no orders → 0
- online / unknown: A5 → 1 order
- counter / card: A4 → 1 order
- counter / cash: A2 → 1 order
- counter / unknown: no orders → 0

Independent totals
Online: 2 + 0 + 1 = 3. Counter: 1 + 1 + 0 = 2. Row totals: 3 + 2 = 5.
Card: 2 + 1 = 3. Cash: 0 + 1 = 1. Unknown: 1 + 0 = 1. Column totals: 3 + 1 + 1 = 5.
The cell ledger contains A1–A5 exactly once each, matching the five distinct source order IDs. No ID is lost or counted in two cells.

Meaning and limits
The 0 cells mean no orders in this supplied batch had that combination. A5’s payment method is unknown, but its existence as an online order is known. These are order counts, not unique customers, payment amounts or a forecast.

You’re the final check

Check the worked example.

These checks use the worked example and its particular facts. With your own material, check your actual names, numbers, sources and rules; do not reuse the sample’s values as the answer.

Unsaved checks stay in this tab and reset when you reload. If you choose Save guide, its current example checkmarks are kept in this browser when storage is available.

A few things to watch for.

  • Unknown payment is still a known order. Dropping it makes the table incomplete.
  • Multi-choice comments can legitimately belong to multiple themes; this one-order/one-cell task requires mutually exclusive category pairs.
