Make a start
One step at a time.
5 steps
Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.
Set up the worked example
Open
Open a new conversation in a text AI assistant and keep the policy beside it. This is a fictional shop-policy writing exercise. You do not need shop access, customer records or a support account; it does not determine anyone's legal rights.
Add the sample
In step 1, replace [paste fixture] with the entire ‘The starting point’ (Synthetic input), from ‘SYNTHETIC POLICY: Paper Finch Studio, version P-1.’ through Q8, ‘Where should I send a return?’ Include all six clauses P1–P6 and eight questions Q1–Q8. Send each step prompt separately in the same chat and check the reply before continuing. The later prompts use this policy and the draft already in the conversation. ‘The intended result’ (Illustrative output) is an answer example to compare afterward, not a new policy version.
Start with the synthetic example, then adapt each prompt to your task.
01
Freeze the source
Number clauses and preserve the exact approved version.
Your starting prompt
Extract a clause-ID fact ledger for eligibility, exclusions, deadlines, costs, damage handling, dispatch, transit and unknowns. Use only the supplied policy version. Do not import common retail practice or legal assumptions. Distinguish requesting a return from completing it.
POLICY AND QUESTIONS:
[paste fixture]
Expect
A clause-by-clause fact list with eligibility, exclusions, deadlines, costs, damage handling, dispatch, transit and unknowns. The source remains fictional version P-1, and ‘request a return’ is kept distinct from sending or completing one.
Check
P1 gives 14 calendar days after delivery, with delivery as day 0, for unused and unopened eligible items with proof of purchase. P2 excludes personalized and clearance items from that offer. P4 is a separate damage process for all item types, with a 48-hour reporting window.
If it differs
If a condition is dropped or outside retail practice appears, quote the matching clause and ask for a source-only correction. Do not let the fictional policy stand in for a statement of real legal rights.
02
Map questions to clauses
A short answer may need several clauses to preserve an exception.
Your starting prompt
Map every supplied question to relevant policy clauses. For each list required conditions, exclusions and missing information. Preserve any separate damage process and its stated scope. Do not fill gaps from general knowledge.
Expect
A mapping for all eight questions, showing the clauses and conditions needed for each answer, plus missing information. Some answers need more than one clause.
Check
Q1 needs P1–P3 to keep the conditions, exclusions and return instructions. Q5 needs the all-item damage process and support route. Q7 has two separate unknowns: refund processing time and exchanges. Q8 has no supplied return address or support-form URL.
If it differs
If a question is missing or maps to only part of the rule, name its Q label and ask for the full mapping. If the damage process excludes personalized goods, point to P4 and correct that scope before drafting.
03
Write every answer
Keep review references while the policy owner checks the draft.
Your starting prompt
Write an answer to every supplied question in plain language with clause IDs. Preserve calendar versus business days, dispatch versus arrival and the return-request window. Do not invent a remedy, turnaround time, address or URL.
Expect
Exactly eight plain-language answers with clause references. The eligibility answer is conditional, the damaged-item answer promises review only, and unknown timings or contact details remain unknown.
Check
Customers pay eligible change-of-mind return postage; original delivery charges are not refunded. Dispatch within 2 business days is separate from estimated transit of 3–5 business days after dispatch. Neither establishes a guaranteed Tuesday delivery for a Friday order.
If it differs
If dispatch and transit become a promised arrival date, ask for their separate wording and uncertainty to be restored. If the reply invents an automatic refund, processing time, address or URL, remove it and put the gap on the owner-review list.
04
Test the boundaries
Try cases where simplification most often changes meaning.
Your starting prompt
Create boundary tests from the supplied policy: ineligible item condition, excluded item type, separate damage process if present, final eligible request day and a dispatch example spanning a public holiday. For the sample, include an opened notebook at day 10, clearance item at day 5 and damaged personalized item reported within 48 hours. Explain only what the source establishes. Correct broader promises and keep missing facts unresolved.
Expect
Boundary cases that test the rules: an opened notebook at day 10 fails the change-of-mind conditions; a clearance item at day 5 is excluded from that offer; a damaged personalized item reported within 48 hours follows the separate review process, with the requested photo of the item and packaging and no automatic remedy.
Check
Delivery is day 0, so day 14 is the last stated day to request an otherwise eligible change-of-mind return; day 15 is outside that offer. A holiday example must identify its calendar assumptions as made up for testing. The source supplies no actual holiday dates, timezone or order cutoff, so it cannot yield an exact real dispatch or arrival date.
If it differs
If a boundary test drops proof of purchase, unused/unopened conditions or the photo of both item and packaging, ask for the full applicable rule. If a hypothetical calendar is presented as a real promise, ask it to label the assumptions and keep the real date unresolved.
05
Prepare owner review
Publication needs a reviewed policy and verified contact route.
Your starting prompt
Return the complete FAQ and a short owner review checklist. Trace every factual sentence to the supplied clause IDs. Keep every unspecified fact unresolved, including any missing refund timing, exchange option, shipping region, return address or contact URL. Mark the copy a draft needing owner approval before publication.
Expect
A complete eight-question FAQ, marked draft and needing owner approval, plus a short review list. Factual sentences should trace to P1–P6.
Check
Check every answer against the original policy. Refund timing, exchanges, shipping region, return address and support-form URL remain unresolved. The owner must review public wording and applicable requirements separately; this exercise has not approved or published the policy.
If it differs
If an unknown has been filled in or a draft is described as legally complete, ask for a corrected FAQ with those gaps restored. Save the checked text locally; obtain the policy owner's decisions before any separate publication.
Optional: improve the result
Review the impact of a policy revision
Make changes explicit before updating published answers.
Advanced prompt
Compare the approved FAQ and old policy with a new policy version. Return changed clauses, affected questions, proposed replacement answers and unresolved conflicts. Preserve version labels. Add boundary tests for changed numbers and exclusions. Do not publish, mix versions or silently carry forward removed promises.

Write a FAQ from your own approved policy
Start a new chat with the exact policy version you may use and synthetic or non-sensitive customer questions. Remove customer identities and order details. Fill the placeholders below. After checking the fact list, send these messages one at a time: “Map every question to all relevant clauses, including conditions, exclusions, separate processes and unknowns.” “Answer every supplied question in plain language with clause IDs. Preserve the exact deadlines, costs and process distinctions; do not fill gaps.” “Test the boundaries of my policy, including conditions, exclusions and deadline edges. Use supplied calendars only. Label any invented test scenario and calendar assumptions as hypothetical; do not turn them into real promises.” “Audit every factual sentence against my exact policy version. Return the complete corrected FAQ and owner-review list, marked draft. Keep missing facts unresolved and do not publish.” Count your actual questions and check all answers yourself. The original advanced extension stays sample-scoped until you replace the old/new policies and FAQ with your own clearly labeled versions. Never mix rules from different versions.
Your own-input prompt
Help me turn this fixed policy into a faithful customer FAQ. First preserve the exact policy version and create a clause-ID fact list for eligibility, exclusions, deadlines, costs, separate processes and unknowns. Keep supplied clause labels or assign labels without changing the text. Identify conflicting clauses or missing information for the policy owner. Do not answer the full FAQ yet. We will map the questions, write answers, test boundaries and audit the final draft in later messages. Use only my supplied policy; do not import customary practice, legal conclusions or extra promises. A policy-writing exercise does not establish legal completeness. Return written text only; do not change store settings, contact customers or publish.
EXACT POLICY VERSION
[Paste the complete permitted policy and its version or effective date. Include all exceptions and definitions. State if a version date is not supplied.]
CUSTOMER QUESTIONS
[Paste the complete question list with labels or numbers, using made-up or non-sensitive examples.]
DATE AND CONTACT INFORMATION ALREADY APPROVED
[Paste any supplied day-count convention, calendar, cutoff, timezone, verified public contact route or other relevant approved fact. Say not supplied for unknowns; do not invent them.]
Check your own result
Every one of your questions has an answer traceable to your policy version, including all parts of multi-part questions.
Your actual item types, exclusions, deadlines, day-count rules, fees and process distinctions remain intact together; sample numbers are not reused.
A test scenario's assumptions stay labeled. An unknown calendar, cutoff or required fact blocks an exact real-date promise.
Missing remedies, processing times, addresses and URLs stay on the owner-review list rather than being guessed.
The FAQ remains an unpublished draft for policy-owner review; it makes no claim of legal completeness.

FAQ DRAFT · Fictional policy P-1 · Owner review required
1. Can I return an unopened standard notebook 10 days after delivery?
You can request a change-of-mind return if it is standard, non-personalized, not clearance, unused and unopened, and you have proof of purchase. Request within 14 calendar days after delivery; delivery is day 0. Get support's instructions before sending it back. [P1, P2, P3]
2. Can I return an opened notebook because I changed my mind?
This change-of-mind offer requires unused, unopened items. An opened notebook does not meet those conditions. [P1]
3. Can I return a personalized or clearance item just because I changed my mind?
Personalized and clearance items are excluded from this change-of-mind offer. The separate process for items arriving damaged still applies. [P2, P4]
4. Who pays shipping on an eligible change-of-mind return?
You pay return postage. Original delivery charges are not refunded. Get support's return instructions first. [P3]
5. My personalized notebook arrived damaged. What should I do?
Report it through the support form within 48 hours of delivery, with a photo of the item and packaging. Support will review the case; the policy does not promise an automatic refund or replacement. This process includes personalized and clearance items. [P4, P6]
6. If I order on Friday, is Tuesday delivery guaranteed?
No guaranteed arrival date is stated. Standard orders dispatch within 2 business days, then take an estimated 3–5 business days in transit. Business days exclude weekends and local public holidays. This policy does not support a Tuesday delivery promise. [P5]
7. When will I get my refund, and can I exchange instead?
Refund processing time and exchange options are not specified. Ask support to clarify both before relying on them. [P3, P6]
8. Where should I send a return?
Use the store's support form to obtain return instructions first. Neither a return address nor a support-form URL is supplied, so this draft cannot provide one. [P3, P6]

A few things to watch for.
Turning a narrow change-of-mind exclusion into a blanket denial of every possible remedy.
Combining dispatch and transit into a guaranteed delivery date.
Filling policy gaps with plausible industry norms.
