Find unclear ownership in a responsibility matrix

An approval-by-role grid that exposes both missing and conflicting final owners.

Illustrative resourceNot tool-testedAdults working with original, synthetic or authorized non-sensitive material
What you’re working towards

A role-by-task matrix and exceptions list showing missing or conflicting decision ownership under the supplied governance rules. This is an authored practice example; no consumer AI run or real participant trial has been recorded.

Make a start

One step at a time.

2 steps

Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.

Start with the synthetic example, then adapt each prompt to your task.

01

Try the complete example

Open a new chat in a text AI assistant you already have permission to use. Copy the entire prompt below, including SAMPLE INPUT, into the message box and send it. No upload or special tool is needed. Expect an approval-by-role grid that exposes both missing and conflicting final owners. Compare the result with Input; Output is a worked illustration, not text you need to paste. The three final-approver counts are D1 = 1, D2 = 2 and D3 = 0. D2 retains both Host and Editor; D3 remains unassigned. Maker’s preparation work does not become approval authority, and a dash means only no final approver recorded. If a detail differs, paste: “This part is wrong: [quote it]. My input says: [quote the exact source line or rule]. Return a complete corrected replacement and explain the change.” Recheck it yourself. If the source is missing or contradictory, leave that part unresolved and obtain the needed fact before using it.

Your starting prompt
Build an approval-only decision-by-role matrix from the exact log. Apply R1 separately to each decision. Preserve the conflicting D2 assignments and the unassigned D3. Show counts, exceptions, precise questions for the team and Maker’s preparation work separately. Do not resolve authority yourself.

SAMPLE INPUT
Original synthetic practice input. The people, organizations, records and events below are fictional.

Fictional exhibition team roles: Maker prepares text; Editor approves text; Host approves placement.
The decision log is the source of recorded assignments, even when it conflicts with the role description:
D1 | text approval | Editor
D2 | placement approval | Host; Editor
D3 | opening-time approval | no assignee recorded
Supplied rule R1: each approval decision must have exactly one recorded final approver. A final approver is the role authorized to make the final yes/no decision; preparing the work is different.
Use A for a recorded final approver and — for no final approver recorded in that cell. A dash does not mean that role has no other responsibilities. Preserve all three roles and all three decisions. Do not silently prefer the role description over the conflicting D2 log, assign D3, or invent who is consulted or informed.

Return written text only. Keep this fictional and label illustrative dialogue as invented. Do not claim an actual interview, survey, learner trial or tool execution. Do not send, publish, collect responses or change another service.
02

Use your own input

Open a new chat. Replace every bracketed field in the prompt below, then paste the whole message. Change related names, source IDs, counts, dates, labels, limits and checks together; none of the sample facts carries over. Use only your own, authorized non-sensitive material. Expect the same kind of complete result using your inputs. Count the owners yourself for every decision using your own label meanings and rules. Compare all cells with the unchanged log. Verify that proposed questions have not become new assignments.

Audit my recorded responsibility assignments against my explicit ownership rules. Define every label from my input, build the task/decision-by-role grid, count the relevant owners for each row, and list missing or conflicting assignments with source references and precise clarification questions. Preserve disagreements between role descriptions and the assignment log. Do not choose an owner, infer authority from preparation work or silently adopt a standard responsibility framework.

MY INPUT
Complete task and decision list with IDs: [replace with complete non-sensitive details, or state unknown]
Agreed roles and their descriptions: [replace with complete non-sensitive details, or state unknown]
Meaning of every responsibility label: [replace with complete non-sensitive details, or state unknown]
Explicit count or ownership rules: [replace with complete non-sensitive details, or state unknown]
Existing assignment log and any known conflicts: [replace with complete non-sensitive details, or state unknown]

Use only MY INPUT for facts, names, dates, counts and constraints. Ask about essential missing information or conflicting rules instead of guessing. Do not import any practice-example values. Return the complete requested result, unresolved questions and checks tied to my input. Do not send, publish, collect responses, buy, book or change another service.
Optional: improve the result

Check a separately supplied correction

Compare an explicit changed log without erasing the original exception. This optional extension uses only the original synthetic sample. Return to the sample chat, or paste its complete Input into a new chat first. To use it with your own material, replace the source and every dependent rule, number and check explicitly.

Advanced prompt
In a separate fictional correction to the original sample, the team confirms D2 final approver = Host and D3 final approver = Editor; D1 is unchanged. Rebuild the matrix, show the exact old-to-new changes and recheck R1. Preserve the original log separately. Do not claim the real team has approved anything.
Show, then try

This input is synthetic. The output is a written illustration of the intended result, not a verified AI-tool run.

The intended result

Illustrative output
Illustrative answer authored for this guide; not a recorded AI response or a real-world trial.

Recorded final-approval matrix
Decision | Maker | Editor | Host | Final-approver count | R1 result
D1 text approval | — | A | — | 1 | Meets supplied rule
D2 placement approval | — | A | A | 2 | Conflict: more than one
D3 opening-time approval | — | — | — | 0 | Gap: none recorded

Key: A = recorded final approver; — = no final approver recorded in that cell. This is an approval-only matrix, not a complete description of everyone’s work.

Separate preparation responsibility
Maker prepares text. That does not make Maker a final approver for D1, D2 or D3.

Exceptions and questions for team review
- D2: The role description names Host for placement approval, but the log names Host and Editor. Which single role is the final placement approver under R1, and how should the conflicting log be corrected? Leave both recorded assignments visible until the team resolves it.
- D3: Which role has been agreed as the final opening-time approver? No assignment is inferred from the task name.

Reconciliation
Three decisions and three roles are retained. Counts are 1, 2 and 0. One decision meets R1; two need resolution. No new assignment or authority has been created.

You’re the final check

Check the worked example.

These checks use the worked example and its particular facts. With your own material, check your actual names, numbers, sources and rules; do not reuse the sample’s values as the answer.

Unsaved checks stay in this tab and reset when you reload. If you choose Save guide, its current example checkmarks are kept in this browser when storage is available.

A few things to watch for.

  • A familiar responsibility framework may use different rules. Apply the supplied rules instead of importing one.
  • Removing a conflicting approver makes the grid look tidy while concealing the actual decision needed.
